What failed

Three incidents, none seen by a client.

What went wrong, who caught it, how long it took, and who owned the fix.

  1. 01

A feed stopped on one Xero file

The bank reissued its consent on the 9th. Feed watch flagged the file at 06:10, Sam re-authorized it by 09:00, and the two missing days were pulled. No statement upload needed.

  2. 02

The month-end board failed to refresh, twice

Karbon's API returned errors overnight on the 14th and 15th. The board showed its last good refresh with the time, and the runs retried and completed by 07:00 both mornings.

  3. 03

A payroll journal was held for review

One client's Gusto run had a new deduction code with no mapping. The journal was held instead of posted, Priya mapped the code on the 28th, and it posted the same morning.

What we changed

Four changes, two of them asked for by the firm.

Changes inside the retainer, with who asked and when they went live. Nothing changes a live flow without a note here.

  1. 01

    Eleven new supplier rules

Added to the Dext rules after Priya's review. Receipts placed by rule went from 86% to 91%.

  2. 02

    Feed watch looks ahead

Now checks consent expiry dates seven days out, so the next re-authorization is a reminder, not an incident.

  3. 03

A year-end step on the checklist

A vendor-forms step added to the month-end checklist for the clients that need it, ahead of year-end.

    The new deduction code mapped

The code from incident three added to the payroll mapping, so it posts next time.

Next month

A year-end checklist, and one decision for Dana.

What is planned, and what needs the firm before we can do it.

Planned

  • Year-end checklist in Karbon for every file, with the review step
  • Two new clients set up through the flow, not by hand
  • Feed consent on three files expires in November; the reminders are already set

Needs a decision

The Xero question. The quarterly review is on the 12th, and we will bring a year of feed and close data for both ledgers, so the decision is made on numbers rather than on a feeling about the acquired book.
