Platform pair

TaxDome and QuickBooks Online, and the gaps between them.

TaxDome connects to QuickBooks Online twice: once for your firm’s billing, once for your clients’ bookkeeping. Both work well inside their lines. The work that crosses those lines is where we build.

What the connection does today

What the native sync does.

From the vendors’ own help pages, checked 24 October 2026. Vendors change these features often, so we check again before scoping any work.

Billing, TaxDome to QuickBooks

Invoices, payments and services created in TaxDome are sent to your firm’s QuickBooks Online the moment they are created, updated or deleted. The sync mainly runs one way.

Client accounts linked by name

A TaxDome account links to a QuickBooks customer automatically when the display names are identical. Payments land in Undeposited Funds, or in deposit accounts you choose.

Client books, read into TaxDome

A separate bookkeeping feature connects each client’s QuickBooks Online file. Transactions, categories, vendors, customers and the chart of accounts sync nightly, or on demand.

Questions to clients

From a client’s transaction list your team can recategorize a line, which updates QuickBooks, or ask the client about it and track the reply.

Where it stops

The gaps firms run into.

Taken from the vendor’s own pages. Whether each one matters depends on how your firm works, which is what the assessment finds out.

  1. 01

Records made in QuickBooks stay there

An invoice or payment created in QuickBooks does not appear in TaxDome. It has to be added by hand, with the invoice number copied across.

  2. 02

    Edits belong in TaxDome only

Changing or deleting a synced invoice or payment in QuickBooks causes sync errors in TaxDome. Service changes made in QuickBooks do not flow back.

  3. 03

    All or nothing per client

Unsyncing an account unsyncs all of its invoices. There is no per-invoice opt-out.

  4. 04

    Names have to match exactly

If the TaxDome and QuickBooks names differ, the account does not link until someone edits the name or links it by hand.

  5. 05

    Client books refresh overnight

Bookkeeping transactions sync every night, or when someone presses sync. Each client’s file is connected separately, by a QuickBooks admin.

  6. 06

    Some lines need QuickBooks itself

Purchases with child line items, and deposits linked to another transaction, cannot be recategorized from TaxDome.

  7. 07

    Client questions go out weekly

Clients hear about new transaction questions in a digest every Monday at 9:00 their time, unless someone sends a reminder by hand.

Not offered in TaxDome’s EU region

TaxDome says bookkeeping transactions are not available to firms in its EU region. A UK firm should check with TaxDome which region its account is in before counting on this feature.

What we build around it

We keep the native sync and build around it.

We do not replace a connection that works. These are the pieces we build where it stops, each scoped to your firm.

A billing check, both sides

A weekly comparison of TaxDome and QuickBooks: invoices or payments created or edited on the QuickBooks side, failed syncs and unlinked accounts, listed with an owner. It reads both and changes neither.

Connection status with an alert

TaxDome shows each client’s sync status. We build the alert that tells the client’s owner when one moves to interrupted or failed.

Client questions that do not wait a week

A follow-up on open transaction questions, on the schedule and in the wording you choose, so month-end does not wait for Monday’s digest.

Month-end status from the books

A read-only check of each client’s QuickBooks file (uncategorized lines, unreconciled accounts, last closed month) shown against that client’s TaxDome job. Where it is written depends on what TaxDome allows, which we confirm in the assessment.

How the job runs

Assessment first, then a fixed scope.

01Assessment first

A walkthrough of how the two tools are set up at your firm, and which of the gaps above actually cost you time. You get a written map and a recommendation, whether or not you build with us.

02Fixed scope

What we build, what it reads and writes, and when it is done, agreed in writing with a fixed price before work starts.

03Built and handed over

Tested on a test client file first, then switched on with you. You get a runbook and a list of every connection we made, and how to switch it off.

04Stewardship, if you want it

Keep us on to watch it and change it on a monthly retainer, or run it yourselves from the runbook.
