Dext and Xero, and the gaps between them.
Dext reads the receipt, codes it and publishes it to Xero, and its rules can do that without anyone touching it. What happens before the receipt arrives, and to the items its rules cannot place, is where we build.
What the connection does today
What the native sync does.
From the vendors’ own help pages, checked 24 October 2026. Vendors change these features often, so we check again before scoping any work.
Lists from Xero
Connecting a Xero organization brings its categories, suppliers and customers, tax rates, products and services, projects and bank accounts into Dext.
Publishing to Xero
Costs publish as bills, expense claims or Spend Money on a bank account. Sales publish as invoices or to a bank account. The original document is attached in Xero.
Rules and auto-publish
Supplier, customer and payment-method rules code items, and auto-publish can send them to Xero with no manual step, with exceptions for item types you choose.
Bank match
With Bank match on, paid items are sent to the matched Xero bank account for easier reconciliation.
Where it stops
The gaps firms run into.
Taken from the vendor’s own pages. Whether each one matters depends on how your firm works, which is what the assessment finds out.
- 01
Rules only apply going forward
Auto-publish works on items submitted after the rule is created. Items already in the inbox wait for a person.
- 02
Some items fall out of the rules
An item is not auto-published if essential fields could not be read, it was flagged as suspicious, or a required field such as the category could not be filled.
- 03
Paid needs a linked payment method
To publish as Paid, the payment method must be linked to a Xero bank account. Otherwise Dext publishes it as Awaiting Payment.
- 04
The client’s Xero plan limits what lands
On Xero Simple, bills can only be published as Draft. On Cashbook or Ledger, Bank Accounts is the only destination, so unpaid bills cannot be published at all.
- 05
Expense claims arrive as drafts
Classic Expense Claims publish to Xero as Draft, which Dext attributes to Xero API limitations.
- 06
One ledger per Dext account
Only one main accounting system can be connected to a Dext account at a time.
What we build around it
We keep the native sync and build around it.
We do not replace a connection that works. These are the pieces we build where it stops, each scoped to your firm.
An inbox view across clients
Items waiting for review in each client’s Dext account, how old they are and who owns the client, on one list. What we can read from Dext is confirmed in the assessment.
Settings checked for every client
Each client’s publish defaults, payment-method links and Xero plan checked against what you expect, so “published as Draft” or “Awaiting Payment” is caught before month-end.
Rules from your own history
Suppliers your team codes the same way every month, listed as candidates for a rule or auto-publish. Your bookkeepers decide which to switch on.
Chasing the missing receipt
Bank lines in Xero with no document behind them turned into a request to the client, in your wording, until the receipt arrives in Dext. More on that on the document chasing page.
How the job runs
Assessment first, then a fixed scope.
01Assessment first
A walkthrough of how the two tools are set up at your firm, and which of the gaps above actually cost you time. You get a written map and a recommendation, whether or not you build with us.
02Fixed scope
What we build, what it reads and writes, and when it is done, agreed in writing with a fixed price before work starts.
03Built and handed over
Tested on a test client file first, then switched on with you. You get a runbook and a list of every connection we made, and how to switch it off.
04Stewardship, if you want it
Keep us on to watch it and change it on a monthly retainer, or run it yourselves from the runbook.
